Job Description:
The Accounting Specialist will be responsible for managing financial transactions related to vendor payments, ensuring all invoices are processed accurately and paid on time by verifying invoices, resolving discrepancies, preparing payments, and all while adhering to company procurement policies and procedures. In addition, the Accounting Specialist will assist other accounting team members in the execution of monthly, quarterly, and annual financial reporting.
Key Responsibilities:
• Invoice processing: Review invoices for accuracy and approvals
• Procurement: Verifying invoices against corresponding vendor management records
• Payment processing: Prepare and submit payment batches to vendors via electronic funds transfer
• Discrepancy resolution: Investigate and resolve invoice issues with vendors or missing documentation
• Communication with vendors: Answer vendor inquiries regarding payment status and invoice issues
• Cash Applications: Apply daily cash to the appropriate ledger account
• Purchasing Cards: Review and approve individual purchase card transactions
• Reimbursements: Review and approve submitted reimbursements to ensure company policy requirements are met
• Reconciliations: Reconciling bank statements and other balance sheet accounts to ensure accuracy
• Month-end close: Create journal entries and assist with financial reporting
• Compliance: Adherence to company policies, accounting standards and regulatory requirements
Required Skills and Qualifications:
• An Associate’s or Bachelor’s degree in Accounting
• Strong attention to detail and accuracy
• Excellent organizational skills
• Good communication skills to interact with vendors and internal stakeholders
• Solid understanding of accounting principles
• Ability to work independently, meet deadlines and be flexible with changing priorities
• Computer skills including at least intermediate level experience with Excel and other Microsoft Office Software
• Knowledge of the importance of vendor management and experience with 1099 requirements
• Willingness to be a team player and capable of bringing ideas to the table
