Location: Ridgefield Park, NJ (M~F 5 days 9am ~ 6pm based on executive schedule)

Duration: 12 Months Contract with possible extension

Status: Onsite

Job Description:

Position Summary: 

  • Provide administrative support for CHRO Vice Presidents. Strong verbal and written communication skills needed for interface with internal teams and business units. Prepare presentations and correspondence, and handle telephone inquiries, filing, and copying. Prepare and maintain division records, documents, expense reports, research materials, and files. 

Essential Duties and Responsibilities include the following: Other duties may be assigned. In this position, either directly or through others, the incumbent will:

  • Coordinate team budget such as travel / entertainment expense
  • Performs general support duties, including mailings, copies, printing, coordination of schedules, office set up, maintaining office equipment, space planning, etc.
  • Prepares expense reports, makes travel and accommodation arrangements or team members, schedules and plans meetings, appointments including scheduling conference rooms, maintaining meeting materials, and supplies.
  • May be responsible for managing HQ meeting requests and transportation for VIP HQ visitors
  • May be responsible for reconciliation and tracking of budget items
  • Assist in events planning, including scheduling, catering, set up and break down 
  • May be responsible for setting up daily/ weekly standing video conference calls for management team. 
  • Place Inventory Requests for devices as needed
  • Shipping/Mailing/Packaging as needed
  • May assist in ordering and tracking new hire equipment to ensure timely receipt
  • Performs word processing, prepares presentations, spreadsheets correspondence, contracts, internal memos, status reports, etc. 

Qualification for this position, the following minimal background and skill levels are required: 

  • Bilingual Korean Required
  • Bachelor's Degree with 1+ years of directly related experience is required. 
  • Expertise in MS Suite including excel/word/pp
  • Experience researching information and preparing communications

Beeline Summary: 

  • The main function of an administrative assistant is to provide high-level administrative support by conducting research, handling information requests and performing clerical functions. A typical administrative assistant acts as information and communication managers for an office. 

Job Responsibilities:

  • Supervise general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
  • Review and approve invoices, reports, memos, letters, financial statements, and other documents.
  • Review and approve corporate documents, records, and reports.
  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
  • Prepare agendas and make arrangements for committee, board and other meetings.
  • Make arrangements for travel, planning meetings, etc. 

Skills:

  • Verbal and written communication skills, multi-tasking, customer service skills and interpersonal skills.
  • Strong ability to work independently and manage one s time.
  • Strong ability to keep information organized and confidential.
  • Strong ability in event planning.
  • Strong leadership and mentoring skills necessary to provide support and constructive performance feedback.
  • Previous experience with computer applications, such as Microsoft Word, Excel and PowerPoint. 

Education/Experience:

  • High school diploma or GED required.
  • 8-10 years experience required.
  • Experience working with executives required.

Top 3 Skill Sets:

  • Bilingual in speaking and writing in Korean
  • Detail oriented and understanding fast pace environment
  • Expertise in Excel, Word, PP
