Summary:
Executive Admin will provide comprehensive administrative
support to Jennifer and the broader team. This role involves calendar
management, scheduling, event coordination, onsite operational support, and
assisting with onboarding and facilities needs. The ideal candidate is highly
organized, proactive, and comfortable balancing multiple priorities in a
fast-paced environment.

Duration : 6 months
Hours per week: 40 with Possible OT
Key Responsibilities
Calendar & Scheduling Support
• Manage and maintain Jennifer’s calendar, including
prioritizing requests and providing availability to meeting organizers.
• Assist Erin Turullols and her team with scheduling meetings
and coordinating cross-functional availability.
• Oversee and manage conference room calendars for El Capitan
and Lobby 7.
Event Coordination
• Support planning and execution of internal events such as
team-building activities, launch events, retirements, and Client anniversaries.
• Coordinate logistics, catering, materials, and onsite
support as needed.
Travel Coordination
• Assist Jennifer with travel planning, including booking
flights, hotels, and transportation when required.
Purchasing
• Handle approved purchasing needs through Amazon and
WorkStore.
• Track orders and ensure timely delivery of required
materials.
Onboarding Support
• Place Work Store orders for new hires and assist with desk
setup and workspace readiness.
• Order name plates and update Seat Manager with accurate
seating assignments.
Facilities & Tech Escorting
• Meet with visiting vendors or technicians and escort them
to designated work areas.
• Coordinate with Facilities, IS&T, and other teams to
ensure seamless onsite support.
On-Site Operational Support
• Restock office supplies and maintain common areas.
• Submit tickets to IS&T, Facilities, or Janitorial
services as needed.
• Assist with package handling and support general onsite
requests, including distributing cables or accessories to team members.
Qualifications
• 2–3 years of administrative, coordination, or operational
support experience.
• Strong organizational and time-management skills with the
ability to juggle multiple priorities.
• Excellent communication and interpersonal skills.
• Proficiency with calendar management and scheduling tools.
• Ability to work independently, take initiative, and solve
problems proactively. Comfortable working onsite and interacting with cross-functional
