Job Description:    
Summary: The main function of a logistics planning analyst is to coordinate and expedite the flow of work and materials within or between departments of an establishment according to production schedule. A typical planning analyst is responsible for reviewing and distributing production, work and shipment schedules and compiling reports on inventory levels, cost, etc.

Job Responsibilities:
- Examine documents, materials and products, and monitor work processes in order to assess completeness, accuracy and conformation to standards and specifications.
- Review documents such as production schedules, work orders, and staffing tables to determine personnel and materials requirements, and material priorities.
- Record production data, including volume produced, consumption of raw materials, and quality control measures.
- Requisition and maintain inventories of materials and supplies necessary to meet production demands.

Skills:
- Verbal and written communication skills, attention to detail, problem solving and interpersonal skills.
- Ability to analyze costs related to manufacturing, labor and materials.
- Ability to accurately document and record customer/client information.
- Knowledge of applicable laws and regulations related to shipping and production.
- Previous experience with computer applications, such as Microsoft Word and Excel.

Position’s Contributions to Work Group: 
- Resolve DOCS Requests (Reactive) as tied to Defense deliveries or customer site deliveries (Metrics: Timely response, closing DOCS cases w/in 24 hours, number of cases that were reopened) 
- Respond to Dealer requests for an ETA update (can also be sent via email)
- Respond to Dealer requests for PODs or BOLs to dealers (can also be sent via email) 
- Respond to request to locate missing machines and / or attachments (can also be sent via email)
- Respond to destination change requests from Defense team. (can also be sent via email)  

- Defense Orders & Customer Site Delivery Process: Identify, coordinate shipments per dealer specifications, provide oversite during transport, and communicate status to all interested parties.
- Additional Information Request –Anticipated RTS, CSR reviews ‘dealer provided information’ report to see if there is missing information, contacts the Defense team to request information if it is missing.
- Load Planning receives the notification and reviews the notes in eViz and TEAMS, then tenders the loads.
- Customer Site CSR sends carrier an email with specifications from the dealer for awareness.
- Load planning receives confirmation that the machine is ready.  
- CSR reviews all tenders for the day and documents the status change of the orders for ongoing management and tracking.  
- CSR regular communication with the carriers and Defense team to provide updates on machine pick and delivery.  This continues through delivery.
- Defense Order and Customer Site Delivery Proactive Issue Resolution: 
- Collaborate with Load Planning on Pick Up and Delivery Date changes when delays occur (Breakdown, Previous delivery delays, arrived after business hours, weather, traffic, construction, HOS etc.)

Typical task breakdown:
- Resolves Dealer/ Defense requests, mostly sent via DOCS, within applicable timeline (DOCS Metrics: Acknowledged, Responded To, and Closed) = 85% of time
- Responds to requests for ship to changes (communicate to Load Planning or Account Coordinator)
- Responds to requests for ETA updates  
- Responds to requests for PODs or BOLs to dealers   
- Responds to requests to locate missing machines and / or attachments  
- Redirecting applicable DOCS cases to the correct category (work tools, shipping floor, orders, etc.) 
- Respond to Issues of machines not starting at port (handle coordination with dealer, local dealer tech, and port)
- Manage Mismatch Report: Confirm ship to changes made by Account Coordinators or Load Planning filtered to TM correctly (if not, machine is sent to wrong location) = 10% of time
- Run Tableau Report for loads that need ETAs updated for Pick Up and Delivery and send a request to each Carrier by 9 a.m. Follow up with carrier via email in the afternoon if ETAs are not updated or no response was received from carrier. (Action AFTER first batch of DOCS are resolved) = 5% of time (as time allows)
- Collaborate with Load Planning on Pick Up and Delivery Date changes when delays occur (Breakdown, Previous delivery delays, arrived after business hours, weather, traffic, construction, HOS etc.) = 5% of time
- Cover for the Customer Site Delivery TLA when needed.

Education & Experience Required: 
- High School Diploma or GED required. 
- 3 years experience with customer service within an office environment.
